Response Requested: GSW Council Meeting May 5th 3-5pm EDT

Dear Councilors (cc GSW Advisory Team):

Based on your responses, it seems May 5th is the better date for most councilors for our spring meeting.

Please hold May 5th from 3-5pm. Zoom link below. This is the afternoon of our May 5th meeting. (Upcoming meetings April 21, May 5, May 19th).

There are two special agenda items. Item #1 is for immediate consideration.

  1. As you have heard previously, my major goal for GSW in 2021 is to revamp our membership process. This entails replacing our online form with a direct “apply and pay” in one step at MSA and allowing for gift memberships. We received a $1,700 quote from MSA for this work, which I authorized. Subsequently, MSA informed me that they were migrating MSA’s entire membership platform from Lasso to a cloud-based service. Migration of societies will be compulsory. I have received a quote for that migration (attached) at $3,500. We have a choice. We can:

(a) add functionality to our current process now for $1,700 and then pay $3,500 this summer for the Lasso->cloud
(b) not gain functionality now but gain it as part of our $3,500 migration (by July 1)
(c ) look for another society to host our membership process

We are currently on path (a). While I am eager to revamp our membership process and to add gift memberships, it perhaps does not justify expenditure of $1,700 to get this done 4-5 months earlier. I am therefore recommending option (b). Please speak up if you would argue for (a) or (c). The quote is attached.

  1. My second major goal for GSW in 2021 is to protect our society’s website from cyber-attack. We have had the great fortune of identifying the person who owns our domain name and who has been a benevolent financial sponsor of the society all these years (Applegate). We are also fortunate that Ryan Haupt has sourced a quote to migrate our website off of AGI’s server to a new server (TBD – right Ryan?). That proposal is also attached here so that you can be prepared for our meeting on the 5th where I will put this to Council for approval.

In other news, we have these fall dates reserved for in-person meetings at the Cosmos Club.
